Responsibilities include supporting the President & CEO and the leadership team, including schedules, travel, meetings, agendas, calendar, database, research, correspondence and other communications and other administrative functions, coordination of special events, and adequately storing public documents. Demonstrate high organizational and interpersonal skills, thrive in a fast-paced environment, and be highly proactive, extremely organized and diplomatic yet assertive in dealing with others. The Executive Assistant also supports other departments as needed. Essential Functions:Ensure that the activities of the position and relevant programs are consistent with the mission, vision, core values, and sponsored initiatives of the Akron-Canton Airport Authority.Maintains confidentiality and discretion in all interactions with the Board of Trustees, President & CEO and Leadership team. Support the President & CEO with processing or managing special projects.Serve as liaison to the Board of Trustees, overseeing Board correspondence and meeting minutes. Confidentiality and discretion are required for all department interactions with leadership and employees.Read, research, act upon, and route correspondence to conserve President & CEO’s time; draft letters and documents; collect and analyze information; and initiate telecommunications on President & CEO’s and Leadership Teams’ behalf.Maintain press clippings and other historical information. Provide historical reference by developing, maintaining, and utilizing filing and retrieval systems and recording meeting discussions.Provide administrative support to airport leadership (and other departments as necessary), including but not limited to scheduling and calendar management, travel planning and expense reporting, correspondence management, information and records management, meeting and presentation management, answering phones, updating airport manuals, policies and airport records, daily administrative assistance, etc. Serve public notices regarding official airport business.Process and manage airport permits, including limo & taxi permits.Maintains employee’s Years of services records, including anniversaries and birthdates. Coordinate and arrange all employee quarterly meetings, years of service recognition awards and President & CEO special recognition and awards. Assist with special events, which may occur during or after regular working hours.Draft, review and send communication on behalf of the Leadership Team.Performs other related complex and confidential duties as required. Assist the Leadership team with department needs upon request.Perform other duties as assigned. Job Requirements:Education: High School diploma or GED with 5 or more years equivalent experience as an executive-level administrative assistant. associate degree in business administration, accounting, communications or a relevant field. Bachelors preferred.Experience: 5 + years of experience in administrative support. Specific Skills / Knowledge: Strong organizational, schedule management, project management, and problem-solving skills with impeccable multi-tasking abilities.Present professionally and with excellent interpersonal skills to establish and maintain good working relationships with others.Excellent communication skills (written and verbal) with the ability to represent the Airport to the community (public relations skills). Computer Skills: Advanced skills in Microsoft Word, Excel, PowerPoint, and Outlook. Intermediate knowledge of Teams and Zoom Ability to become familiar with Airport-specific programs and software. Equipment Used: Personal computer, copier, scanner, fax, phone. Supervisory Responsibilities: None Working Conditions / Physical Demands:The work is frequently performed in an office environment with occasional exposure to other areas of the Airport and the community. While performing the duties of this job, the employee is frequently required to sit and work at a desk using a computer or phone; use hands to operate equipment, type on a keyboard, and grasp or handle objects; and perform administrative work using a variety of office equipment. The employee will frequently talk or hear (phone, radio and computer) while interacting with others and occasionally stand and walk. The employee will occasionally lift, push, pull, or move objects weighing up to 20 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
