This position is responsible for providing administrative support to multiple VP's in the Enterprise Security Architecture & Application Security (ESA & EA) organization.
Job responsibilities include
Organizing, maintaining and de-conflicting an executives dynamic calendar using a high level of tact and integrity, including scheduling meetings and conference calls across different time zones, most frequently between GA, AZ, NY, UK and IndiaManaging the logistics of key meetings, including room booking, catering, production of meeting materials, etc.Coordinating travel arrangements as needed, including air, hotel, transfers & visasReconciling expenses and filing expense reportsManaging the payroll system for the team, including attendance tracking (holidays, vacation, sick days etc.)Producing accurate presentations, documents and general correspondence in a timely manner.General follow-up and reminders in order to effectively meet deadlines and commitments.Organizing regular team meetings and 1:1s with Direct Reports.Maintaining inventory of office supplies, including placing ordersManaging confidential filing and keeping regulatory records in good orderAssisting with special projects and initiatives as neededOnboarding new colleagues as needed
Qualifications include
3+ years of experience in an executive assistant or office manager capacityAbility to organize and work on own initiativeAbility to work independently or with minimal directionExperience in handling a wide range of administrative related tasks, organizing large meetings, and arranging travelAbility to manage and complete multiple tasks within specified timeframesAbility to act diplomatically and respectfully when communicating with individuals of varying levelsExpert level of written and verbal communication skillsUnderstanding and appreciation of key customer relationships (internal & external).Accuracy and attention to detailsCommitment to ongoing learning & developmentFlexible, proactive, well organized, resourceful and efficientHandling of confidential and sensitive issues in an appropriate mannerAn ability to demonstrate adaptability and flexibilityA proactive approach with strong interpersonal skills and decision making abilityStrong knowledge of MS Office, including Word, Excel, PowerPointFamiliarity with Amex organization and Amex-specific systems (procurement, payroll, HR, etc) is a plusProject management skills are a plus
Salary Range: $24.05 to $48.10 hourly + bonus + benefits
