Downtown renown Private Equity firm seeks an Executive Assistant to support the Managing Director. In this role you will act as a team member and be the gatekeeper to the office. You will interact with the management team on daily basis.Need to be organized, outgoing and enjoy working in a fast paced environment. Private Equity and Financial Services prefered. Ideal candidate will have 3-7 years experience coordinating travel, organizing inhouse meetings, event planning & managing different creative projects. Candidates must possess an eye for detail, strong verbal & written communication skills, quantitative reasoning ability, and a rigorous work ethic. Outgoing yet professional personality is a must! Responsibilities Include:Provide an executive level of administrative support which will include but is not limited to phone and email management, correspondence, calendar organization, task managementPrepare correspondence, detailed itineraries, and coordinating client events.Handle all database management and help managed a busy calendar.Assist with marketing campaigns and initiatives, such as updating clients, vendors and sending and coordinating email blasts and managing all platformsServe as the key contact person for clients by providing a concierge-level of serviceManage the Managing Partners office lots of interaction with outside clients.Assisting Executives with calendar management / travel arrangementsOrganizing, updating and maintaining client information within company databaseAttending meetings as needed, taking detailed notes to support the ExecutivesOffice management responsibilities as needed; back up support to front office, assist in planning and attending company events/seminarsIdeal Requirements:Bachelorβs degree requiredFinancial Services/Consulting industry experience preferred3-4 years + of relevant experience; Executive support, travel management and preparing correspondence.Willingness to help others in the officeAbility to work with fast pace team; multi-tasking is essential for this positionProficient knowledge of Microsoft Word, Excel and PowerPoint.Capable of developing proficiency in other software CRM programs/ social media platforms experience preferredStrong written and verbal communication skills.
