Job Description
The Senior Administrative Coordinator will be responsible for the day-to-day online and hybrid programs (OHP) support. The person in this position is a primary contact for prospective and enrolled online and hybrid students and faculty seeking administrative assistance and information regarding program requirements. This position reports to the Director of Online and Hybrid Programs.
Essential Function 1: 30% Provide primary contact and ongoing support for enrolled online and hybrid students, faculty, and prospective students seeking registration, administrative assistance, and program information. Maintain relevant student records for the OHP office, communicate program information and deadlines to students, and connect students with university resources.
Essential Function 2: 20% Support the OHP Director in administering intensives and co-curricular programming, events, on-campus gatherings, and a community environment tailored to inclusion of online and hybrid students. In coordination with the Director and relevant faculty, staff, and students, facilitate hybrid access to residential events and student group meetings. Distribute monthly online and hybrid event newsletter to online and hybrid students. Purchase supplies, book accommodations, and manage facilities use for on-campus hybrid courses and co-curricular events.
Essential Function 3: 20% Support the Director in communication with prospective and newly enrolled online and hybrid programs, corresponding with applicants about online and hybrid programs, providing coordination support for recruitment meetings with prospective students, and guiding students through the application and enrollment process.
Essential Function 4: 20% Provide office, administrative, and communications support for the OHP Director, including but not limited to reception, correspondence, reporting, printing, scheduling, filing, website maintenance, preparation and tracking of expense reports, and communications with faculty and staff.
Essential Function 5: 10% Maintain agenda, attend, and record minutes at committee meetings related to online and hybrid programs. In coordination with the OHP Director, the Registrar, and the Associate Dean for Academic Affairs, communicate committee decisions to students and track program progress of students in online and hybrid programs.
Required Skills
Bachelor's degree preferred with 1-3 years of experience in an area related to office administrative support.Professional demeanor and excellent customer service abilities required.Ability to take initiative with projects to work both independently and as a team member.Excellent communication and organizational skills.Proficiency in Microsoft Office (Outlook, Word, Excel).
