Background:Chicago CRED is a mission driven organization working to achieve transformational reduction in violence in Chicago. CRED does its work by offering direct services to those who are at the highest risk of violence, advocating for policy reform to increase public investment into community violence interventions, and promoting cross-sector coordination to achieve maximum impact.
Department Function:Reporting to the Chief Philanthropy Officer the Executive Assistant, Donor and Partner Operations supports Chicago CREDβs donor and partner engagement efforts serving as the primary point of contact for all internal and external constituencies. The Executive Assistant also manages related administrative tasks and works independently on associated strategic projects, from conception to completion.
Essential Duties & Responsibilities: Handles scheduling and meeting preparation for up to four senior team members, including document production and other administrative requests as needed. Supports in managing the receipt of grants, mail-in donations, and donor acknowledgement letters.Serves as the point person for critical development team processes such as data entry in the CRM database and our project management boards.Provides a bridge for smooth communication between assigned senior leaders and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence and other tasks.Prioritizes conflicting needs; handles matters expeditiously and proactively. Follows-through on projects to successful completion, often with deadline pressures.Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact. Maintain a productive balance among multiple requests from team members.All other tasks as assigned.
Experience and Qualifications: Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly, with excellent attention to detail.Very strong interpersonal skills and the ability to build and maintain relationships with stakeholders, including staff, board members, external partners and donors.Excellent written and verbal communication skills.Demonstrated proactive approaches to problem-solving with strong decision-making capability.Highly resourceful team-player, with the ability to also be extremely effective independently.Emotional intelligence and maturity.Proven ability to handle confidential information with discretion.Ability to be adaptable to various competing demands and demonstrate the highest level of customer/client service and response.Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.Three to five years of experience supporting executives.Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat.Creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented.
