Founded in 1994, CunninghamLegal has experienced remarkable growth and now operates seamlessly with offices located in both Northern and Southern California.

We are currently seeking a detail-oriented, organized, and efficient Office Administrator. In our firm, the Office Administrator plays a crucial role in ensuring the smooth operation of the firm by managing client files efficiently and providing excellent client-centered service to all incoming visitors and callers. It is also imperative that the Office Administrator gains in-depth knowledge of our services to effectively represent the firm and guide clients to the appropriate resources. This role is integral to our firm's success, requiring the ideal candidate to be highly organized, forward-thinking, and adept at problem-solving. Responsibilities Client File Management: Process, track and coordinate all incoming file requests for upcoming review appointments, or original file returns to past clients according to procedure and security policies set forth by the firm. Communicate effectively and professionally with clients, potential clients and vendors. Coordinate file retrieval and return from offsite storage facilities, as well as consolidating digital information from archived files on server systems. Scan, copy and organize estate planning and corporate files, ensuring document accuracy and organization. Facilitate, track and complete return of files digitally or mailing to potential clients and previous clients, providing digital copies for staff and linking to client file in server and database. Oversee file-related projects, including indexing and integration from acquired practices.Reception and Administrative Support: Welcome, assist and seat all visitors to our Auburn office in a friendly and professional manner. Answer and direct incoming calls when phone team is occupied during peak periods. Assist with various administrative tasks such as scheduling appointments, managing calendars and supply inventory to ensure a smooth workflow and efficient office operations. Maintain cleanliness and supplies in conference room before and after client appointments. Safeguard client personal information from unauthorized access. About you: Previous experience in a law firm or legal environment is preferred but not required2+ years of directly relevant work experience in administration or client services College degree preferred, high school diploma or equivalent requiredStrong organizational and time management skills with the ability to manage multiple tasks simultaneouslyStrong computer/technology experience (MS Office Suite etc., basic PC troubleshooting, digital calendars, remote meeting software, commercial copier use)Excellent communication skills (written and verbal) Unwavering commitment to teamwork and delivering a five-star client experienceProfessional demeanor and ability to maintain confidentiality This position operates in a professional office environment and involves frequent interaction with clients, attorneys, and other staff members.
