D3 Search is actively recruiting the following Intake Manager for a highly respected AMLAW 50 ranked law practice headquartered in Los Angeles, CA (90017).
Position Title:Intake Manager | 4+ years relevant exp. in the legal industry required.

Employment Status:Full-time | direct hire employment opportunity. Non-exempt status.
Employer Work Model:Hybrid work model (1 onsite and 4 remote).
Description & responsibilities:Manage and oversee the intake department to ensure daily tasks and projects are completed in a timely manner by strategically planning schedules to optimize efficiency and workflows.Monitor team productivity while providing constructing feedback and performance evaluations.Track and resolve conflicts and issues to ensure quality performance moving forward.Routinely generate various reports for partners, management, and firm-wide distribution.
Specific tasks & responsibilities related to each intake dept. employee:Timekeeper specialist:Ensure timekeepers are set up before their start date.Review bi-monthly status reports and emails from HR/office managers to ensure timekeepers' status is updated and correctly reflected on timekeeper records (titles, termed, going on and returning from LOA, status changes between full time and part time).Assist with follow ups on missing time reports to ensure it is entered.Ensure daily cost loads are processed.Troubleshoot workspace related issues.
Matter specialist:Review matters to make sure they are set up correctly.Review engagement letters to ensure necessary approvals are obtained and matter correctly reflects the agreement.Monitor missing items on matters and ensure weekly follow-ups are sent out.Monitor time holding matter for matters temporarily closed to ensure time is transferred.Ensure monthly reports are sent out: inactive matter closures and monthly new matters lists.Assist with monthly inactive matter follow ups.
Compliance specialist:Log incoming guidelines to ensure reviews of guidelines are completed in a timely manner.Note pending issues in need of resolution and ensure weekly follow ups are sent out until pending issues are resolved.Ensure necessary cost exceptions and billing rules are implemented.Assist with adding timekeepers to restricted matters and follow ups with E-billing.Monitor time in timekeeper pending approval matter to ensure time is transferred.
Required skills & qualifications:Understanding of general accounting procedures β preferably in a law firm setting.Elite/3E experience.Knowledge of MS Excel β pivot tables and charts, Vlookup, IF statements, and conditional formatting.Strong organizational skills with the ability to manage employees to prioritize tasks and meet deadlines.Excellent communication β both oral and written.Attention to detail with accurate data entry abilities.
Salary/Compensation:Salary is 120K (DOE/DOQ).
