Job Description:We are seeking a highly organized and friendly Front Office Assistant to join our team. The successful candidate will be the first point of contact for our clients and visitors, playing a crucial role in setting the tone for their experience with our company. This position requires excellent communication skills, computer skills, a keen eye for detail, and the ability to multitask effectively in a fast-paced environment. This person will report directly to the Director of Operations.
Key Responsibilities:Greet, welcome, and direct clients and visitors appropriately.Handle incoming calls from clients and vendors.Maintain security by following procedures, monitoring logbooks, and issuing and coordinating badges and parking.Perform administrative duties including, but not limited to, filing, photocopying, faxing, and mailing.Schedule appointments, maintain an organized reception area, and manage meeting room bookings.Coordinate front-desk activities, including distributing correspondence, depositing checks received, and redirecting phone calls.Assist with inventory control of office supplies and place orders when necessary.Support team members with various administrative tasks as needed.Use Microsoft 365, including Outlook, Work, Excel, and Teams for things like client and internal communication, data management, mail merges, and sorting.
Requirements:High school diploma or equivalent; further education in office administration or relevant field is a plus.Must be able to pass a background check.Proven work experience as a Front Office Assistant, Receptionist, or similar role.Proficiency in Microsoft Office Suite and phone systems.Strong communication and interpersonal skills.Excellent organizational and multitasking abilities.A customer-oriented approach with a high level of polish and professionalism.
