📋 Role Overview & Responsibilities

Job SummaryThis position works under the direction of the Director of Sales for the Fort Smith Convention & Visitors Bureau (FSCVB). The Sales & Experiences Coordinator will sell the destination to groups that are looking to host their event in the community, as well as service events that are being hosted in the destination to ensure a quality visitor experience.

Essential Duties & ResponsibilitiesSales:Respond to all sales leads that reach directly out to the FSCVB for their events by creating and submitting bid proposals, disseminating hotel leads, and completing a post-sales survey for the sales process.Work with events on re-booking Fort Smith for their future event, if the event happens within 3 years of hosting.Ensure that all sales leads are inputted and updated in Simpleview. Experiences:Implement the experiences plan for destination-hosted events and make suggestions for changes as needed. Service all hosted events in the destination, including communication, coordination, and fulfillment of event deliverables, and a post-event survey of attendees' experience in the destination.Ensure accurate record keeping of servicing support on events using Simpleview.Complete annual audit of lodging, dining, bar, and servicing partners in the Partner Portal of Simpleview. Assist the Director of Sales in the planning and implementation of site visits, FAM tours, and external client events. Administration:Provide financial records management (i.e. invoice management, credit card purchases).Maintain relationships with local venues, hotels, attractions, restaurants, and other community partners to customize bid proposals and visitor experiences. Oversee the inventory of cordials for services and sales needs to include purchasing when needed.

Education and/or ExperienceTo handle the duties of this position, a minimum of a high school diploma or general education degree (GED) and a minimum of one year of previous sales and/or servicing experience in the event industry are required.

Other Skills and AbilitiesThe incumbent should possess the following skills:Excellent verbal and written communication skillsExcellent computer and program skills (Microsoft Products – i.e. – Word & Excel)Organizational skillsProblem-solving and analytical abilitiesExcellent interpersonal skills Knowledge of modern office practices, procedures, and equipment. Ability to become familiar with and understand the City of Fort Smith policies and procedures, including basic financial structure, and interaction with the City staff is critical.
