Gaia is seeking a full-time Sales Support Specialist with sales experience and a general understanding of sustainable/high-performance building, architecture, construction, and/or engineering field. This role focuses on supporting our sales team by engaging clients, creating tailored proposals, and enhancing our client service to ensure success in our sales endeavors and the company’s mission of promoting sustainable building practices for clients. It requires a blend of technical knowledge, sales skills, and project coordination abilities. Required Skills and Qualifications:• Bachelor’s degree in Environmental Science, Architecture, Engineering, Business Administration, or related field.• Proven experience in sales, preferably within the green building, architecture, or engineering sectors, but could also be in building materials, solar, construction, building operations, or building maintenance. • Understanding of green building fundamentals, construction, or LEED certification processes.• Excellent communication and interpersonal skills, with the ability to explain complex technical concepts clearly and persuasively.• Ability to work collaboratively in a team environment and manage multiple projects simultaneously.• Tech-savvy with strong proficiency in Salesforce and Microsoft Office Suite.

Preferred Skills and Qualifications:· LEED GA/AP or similar sustainability accreditations· Sales strategy · Proposal writing· Ability to read construction documents.

Responsibilities:Sales Support and Coordination:• Support the sales team by managing sales action items and keeping them on schedule, creating sales documents and proposals. • Coordinate all required elements to close a sale, including presentations, case studies, proposals, minor scope adjustments (as per client's request), client request evaluations, marketing materials, and client research.• Assist the Sales Manager in identifying and pursuing new business opportunities in the green building sector.• Prepare presentations and proposals for the sales team to use at client meetings that clearly communicate the value and benefits of LEED certification and sustainability consulting services. • Coordinate with the sales and marketing teams to develop materials that highlight the firm’s expertise in LEED certification and sustainable building practices.

Client Service: • Addressing client queries and concerns promptly and professionally.

Data Management and Reporting: • Maintain and update sales and client records, ensuring all information is accurate and up-to-date. This includes tracking proposal dispatches, recipients, and contract signing dates.• Generate reports on sales metrics, market trends, and other relevant data to support sales strategies. • Maintain comprehensive records of client interactions, project details, and sales activities in the CRM system.• Analyze sales data and project outcomes to identify trends, opportunities for improvement, and potential new markets or services.

Market Research and Education:• Conduct market research to identify new business opportunities and competitive trends in the green building industry.• Participate in and contribute to educational programs and workshops about green building practices and LEED certification for both clients and internal teams.• Stay up-to-date with changes in Salesforce and other tools we use.

Marketing Support: • Collaborate with the marketing team to align sales strategies with marketing campaigns and assist in the production of sales collateral and promotional materials.

Additional Duties:• Analyze bid specifications with precision and insight to ensure proposals meet client needs, and respond to RFP requests, guiding them from inception to closure.• Assist sales by participating in client-facing meetings and calls to gather requirements, and deliver technical presentations, demos, and assessments to help understand and fulfill client project needs.• Engage early in project design, responsible for tracking them in CRM from bidding to closure, while regularly identifying, qualifying, and converting new project leads into the project tracking pipeline.• Utilize CRM consistently to capture accounts, contacts, and manage project tracking activities, ensuring efficient client project requirement discovery through various means including phone conversations, in-person meetings, and client-produced documents.• Assist in creating scopes of work providing comprehensive contract and client relationship management.• Must be able to work at the Los Angeles office for a full week (3-4 times a year) during predetermined dates for team gatherings.
