Summary

Customer Service interacts with internal and external customers; providing support, data and pertinent information, to ensure production runs efficiently.

Responsibilities

Analyze, Validate, Reconcile and Submit DataPulling and comparing records from Company software and 3rd party software using Excel and Word - VELES, SAP, ITMS, GPMS, GPQMS, etc.Sorting data into necessary reports as requestedAnalyze data to determine the next step in meeting objective goalVerifying the validity of data and updating as neededIncrease efficiency and productivity of reporting methodsAnalyze and identify data patterns to filter problematic areas of data and reporting methodsSending and receiving data as requestedCommunicating VIN activity clearly and concisely via verbal communication and email transmissionProperly escalate critical information to department managerAdministrative SupportAnticipating the needs of internal/external customersAnswering phones, replying to email in a timely fashionEnsure all inquiries have been completed by the department in a timely mannerEnsure department manager is up to date with all relevant informationEngage in face-to-face meetings with customers for the provision of one-to-one serviceAssist Carriers in locating units, repair requests, expediting shipments for customers, and any other issue that may prevent units from shippingWork Order Completion/Print/Reprint/ValidationMonroney Print/Reprint/Sort/ValidationProactively investigating issues and responding accordinglyDay-to-day operation of all programs and equipment, including scanners/tablets/printersCoordinating Production Activities Led By OperationsAnticipating the needs of OperationsCreating, printing and distribution of necessary/requested reportsGenerating new reports to aid Operations in meeting organizational goalsVIN lists (various configurations)Allocation/Decommit Report (VINS ready for production)Issuing requests to labor provider to meet objective goalsOffsite Truck Shuttling (VINS located off the main property)Purification of stock transfers received from other Port’sReceiving dealer returned units into inventoryRequesting entry inspections on all returns and transfersAdvising carriers of transportation damage liability for returns and transfersComposing Standard Work Instruction SheetsAnalyze existing processes for improvementDetermine structure of standard operation procedurePrepare scope of process for department/individual relevancyUse consistent style and start steps with action commandsBe conciseCollaboratively work out all necessary steps of the processRecords tasks step by stepInclude sub-tasks when necessaryInclude visual overflows and visual aidsAccess potential problems in the processRamp Operation at Navy YardRetrieve railcar numbers with corresponding A-end and B-end sealsEnter railcar numbers into TADS system according to railcar location on each track and padAssign location to all VIN's on each rail car and print bay ticketsInvestigate problematic VIN's, damages, and the relocation of VIN's from their assigned location to sickbay area and/or Southport VPCPark VIN's for carrier availability and clear track sheet in TADSSubmit a minimum of 10 reports daily to Glovis HQ and NS CorpPerform physical inventory and system reconciliation in TADS weeky and monthlyProvide daily pull list to Conrail for clearing of empty railcars on each trackOther duties as assigned

Proficient PC skills - Word, Excel, PowerPoint, Outlook, and database management systems Ability to read, comprehend and interpret documents such as operating and maintenance instructions, and procedure manuals is required Ability to write routine reports and correspondence is required Ability to communicate effectively before groups of customers or employees of organization is required

Education & Experience

High School Diploma/GED 3 years required OR equivalent combination of education and experience in Customer Service or Microsoft Office preferred 2 years preferred OR equivalent combination of education and experience in IVeles, ITMS, SAP, or Excel
