Responsibilities As an Assistant General Property Manager - Multifamily with Hines, you will be responsible for supporting and assisting the General Property Manager in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports. Responsibilities include, but are not limited to
Provides leadership and support to team members, ensuring each role has the tools and resources to meet and/or exceed their expectations. Promotes a collaborative, team work mindsetCompletes the daily transactions and tasks related to the financial operation of the community by collecting and posting rent, fees, and other payments, preparing daily bank deposits and reconciling bank accounts, preparing financial reports, and processing invoices and payablesReviews resident files and accounting records, communicates with residents regarding outstanding balances, implements procedures for collecting on delinquencies, and enforces the lease to maximize revenueComplete lease/renewal paperwork to ensure completion to company standardsEnsuring the smooth running of our community in a fast-paced environmentAssist the Property Manager with providing superior customer service and communication to our residents and prospects to enhance customer satisfaction and increase renewals, revenue, reputation, and profitabilityMaintain effective on-site staff through coaching and mentoring as neededWork with leasing staff to ensure that leasing/marketing goals are metAdheres to Hines established procedures related to evictions by following proper notice requirements, evicting residents, and representing the community as required in court hearings and eviction proceedingsReviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchasedProcesses resident move-outs by reviewing lease terms and notice requirementsPromotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and taking appropriate action to resolve and address service issuesActs as the on-site supervisor in the absence of the community manager by organizing and delegating daily work, and coordinating maintenance and make-ready tasks with the maintenance supervisorAssists in managing the client/owner relationship by meeting with the owners, conducting community tours, providing updates and information about the community’s performance, and responding to owner requests as needed
Qualifications Minimum Requirements include
High school education or equivalent from an accredited institution is required; College degree preferredTwo or more years of experience as a residential community/property manager requiredExperience with Entrata a plusActive certificate or willing to obtain one for employment for National Center for Housing Management Proficiency in Microsoft Office and property management software in order to complete required reportsStrong customer service orientationExcellent verbal and written communication skillsAbility to work a flexible schedule including weekends and holidays
