General Purpose:The Recruiting & Professional Development Assistant provides administrative support to the Director, Recruiting Manager, Recruiting & Onboarding Coordinator, and Recruiting Coordinators in the recruiting of all attorneys, summer clerks, and paralegals firm-wide. This role also provides administrative support in the development and implementation of all attorney, summer clerk, patent professional, and paralegal professional development programs, as well as for all special projects, as requested.Essential Duties/Responsibilities:Maintains attorney, paralegal, summer clerk, and patent professional personnel files including:Collecting and tracking of Change Requests, ensuring all information is receivedProcessing changes in UKGProviding communication, notifications, and other updates as neededFiling necessary paperwork and creating new hire filesMaintains information on R&PD and PROCOM Hub pages up to date including lists of attorneys, partners, paralegals, and patent professionals.Processes all check and reimbursement requests as well as AmEx charges by Director, PD Manager, and Recruiting ManagerAssists with recruiting and onboarding processes for lateral candidates including:viRecruit input of resumes submitted by search firms and other unsolicited, referrals, and non-self-apply resumesJob postings on website, LinkedIn, and other career platforms as directed by Recruiting Manager and Coordinators; tracking of job postings sites and expiration datesTravel and lodging arrangements for out-of-town candidatesProvide assistance with interview scheduling, viRecuit input, evaluation requests, and summariesConflicts clearance preparation and requestsBackground check requestsScheduling orientation sessions and other onboarding logistics (laptops, materials, I-9 verification)Assists with all law student recruiting programs including:Program registrationsResume packet/binder preparationCandidate summary listMaterials and swag preparationTravel and lodging arrangements for out-of-town candidatesProvide assistance with interview scheduling, viRecruit input, evaluation requests, and summariesOnboarding logistics (laptops, materials, 1-9 verification, etc.)Assists Recruiting Manager and Coordinators as needed with the execution of the summer clerk program including:Logistics related to summer program event planningScheduling meetingsPreparing review packetsAssists in gathering data to respond to surveys and prepare statistics/reportsProvides assistance to Professional Development Team in coordinating all types of performance review processes - annual, mini-review, real-time feedback, and partnership admission, for associate/of counsel attorneys, paralegals, and patent professionals including:Gathering past evaluation materialsCreating individual folders for evaluatorsCompiling evaluation materials into PDFsRegularly updating the folders and PDFsAssists any other professional development related initiatives, which may include attorney training, mentoring program, individualized associate/of counsel attorney professional development plan, and supervisory program including:Scheduling conference roomsPlacing lunch ordersTracking RSVPsOther duties as needed to drive to the vision, fulfil the mission and abide by the values of the organization.Competencies:Job Knowledge & Technical Skill: Demonstrates an understanding of objectives, duties, responsibilities, and expectations of the job with exceptional quality work.Communication: Understands the importance of and demonstrates verbal, written, and non-verbal communications.Team Player: Works within team and cross-functionally to meet required results.Customer/Client Experience: Creates a consistent and exceptional experience for others, whether directly to external clients/customers or indirectly through internal support, that elevates the overall perception of the firm.Supervisory Duties (if applicable):None.Job Qualifications (Education, Experience and Certification):Bachelor’s Degree or equivalent work experience preferredTwo+ years of administrative experience in a professional settingExcellent attention to detailExcellent interpersonal skills and client-service attitudeAbility to maintain strict confidentialityExcellent organizational and administrative skillsExcellent oral and written communication skillsAbility to organize and prioritize tasks to effectively meet deadlinesExcellent computer and software skills in MS Word and ExcelStrong event planning skills preferredPhysical Requirements:While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least ten (10) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.The physical demands described here are representative of those that must be met by this position to successfully perform the essential functions of this job.
