📋 Role Overview & Responsibilities

Description

Occupancy

Utilize secure websites and software systems, review and process all tenant selection and recertification documentation in accordance with established proceduresInvestigate and resolve income discrepanciesEnter move-in/move-out data in appropriate systemsGenerate and submit required occupancy reports to regulatory authorities and maintain compliance recordsDistribute accurate rent rolls for each development and submit Housing Assistance Payment (HAP) vouchersSubmit and track claims to HUD for unpaid rent, vacancy loss and damagesProvide Resident Managers with cooperative, on-going occupancy related support on a day-to-day basis

File Maintenance & Record Keeping

Ensure that all tenant file documentation is complete, signed, dated, and appropriately organizedFollow up to secure any missing dataFile all tenant income certifications, declined applications, monthly reports as well as general project and tenant informationRecommend record keeping policies for on-site and the main officeRetrieve and distribute income limits, utility allowances, and rent adjustments to each projectMonitor occupancy to ensure that the required percentage of units is rented to low-income tenants in the correct percentagesOrganize and manage long-term storage

Applicant Processing

Obtain credit and criminal reports for each adult applicant and evaluate based on parameters set forth in the Resident Selection PolicyEnsure confidentiality of all records and seek approval from Regional Managers for each credit or criminal-based appealMaintain Waiting Lists for each property, ensuring that data is appropriately entered, activity during the waiting period is recorded, and preferences are followedProvide updated waiting lists to each property on a regular basis

Qualifications

High school diploma or GED is requiredKnowledge of regulations, polices, and procedures governing Section 8 and Section 42 LIHTC programs preferredRequires ability to use Excel, Word and occupancy related softwareAbility to coordinate with fellow employees to schedule, organize, plan, prioritize, and complete work related tasks with a high level of accuracy and efficiencyRequires the ability to work independently and research problems using tools providedAbility to communicate effectively, both orally and in writingMust be able to provide excellent customer service and telephone support
