Office Administrator / Operations Coordinator
π Role Overview & Responsibilities
Our client, an adult day health center, is looking to hire a full-time Office Administrator / Operations Coordinator. The person in this role will be responsible for a variety of administrative, operations, vendor relations, and billing duties. This is a Monday-Friday hybrid position working between the administrative office, remotely, and the program locations as needed.

Responsibilities include
Complete client billing and respond to inquiries. Maintain accurate documentation of client and insurance payments.Control and maintain large purchase inventory including technology and appliances, staying within budget. Research and develop accounts with supply vendors, negotiating rates.Support Human Resources and Benefits functions.Coordinate and improve the efficiency of support services such as IT and Phones, Electronic Records Software, Payroll vendor, Billing software, HR, Accounts and Finance. Facilitate coordination and communication between support functions; respond to challenges or problems raised with internal and external support services for the programs and administrative office. Act as point-person within the organization for internal questions or concerns related to any vendor services.Contribute to short and long-term organizational planning and strategy. Implement and coordinate operational plans.Maintain office supplies and equipment, handle incoming and outgoing mail, prep for on-site administrative meetings, maintain overall organization and cleanliness of office.Respond to inquiries from internal and external sources in a professional and timely manner, ensure all written communications are concise, clear, and proofread; organize time to meet deadlines and communicate effectively if priorities conflict.Assist in project coordination, including researching and identifying potential new vendors/resources.Other duties as assigned.
Qualifications & Skills
Minimum 5 yearsβ experience with operations management, or comparable role, preferably in a non-profit environment.Must be proficient in Excel and Microsoft Office.Bachelorβs degree preferred.Demonstrated operations experience in roles with increasing responsibility.Demonstrated ability to work effectively with a culturally diverse population.Ability to work collaboratively as a member of multi-departmental and cross-functional teams.Professional documentation and communication skills, as well as demonstrated organizational skills.Ability to be flexible, open and responsive to ongoing changes.Ability to identify opportunities and challenges and develop effective, creative solutions to pursue opportunities.Ability to function under pressure in a fast-paced project management environment.
