The Administrative Professional will report to the Director of Business Operations & Consulting Services within Business Innovation at our company.

The role will provide comprehensive support executing a full range of administrative duties. In this role, responsibilities include (but are not limited to) heavy calendar management, coordination of complex meetings including executive stakeholders, assembly of briefing materials, arranging travel, expense report preparation, and planning and organizing events (internal in-person trainings, project workshops, etc.).

As a working professional, he/she will be expected to handle tasks independently, proactively, and discreetly. This position will also coordinate with other Administrative Professionals in Strategy and Consulting, as well as across the organization to support the work of the department.

How You Will Achieve ItCore responsibilities include, but are not limited to:Provide comprehensive day-to-day administrative support to 2 Vice Presidents.Proactively maintain complex calendar; anticipate conflicts and use diplomacy to resolve issues in advanceHandles full spectrum of travel arrangements (i.e. research/book flights, hotels and ground transportation; cross-site access, passport and visa documents) and provide itinerariesPrepare and submit expense reports for review; perform reconciliations in line with our company policyOrganize teleconferences, WebEx, videoconference and in-person meetings and ensure all technologies needed are available, operational, and all guests are registeredRequest and prepare briefing materials for meetings in advance, handling confidential information with discretionPartner with the Business Operations Lead to facilitate the logistics and planning of meetings and events for Strategy and Consulting (e.g. SC Town Halls, team events, External meetings, etc.)Manage and update distribution lists, organizational chart, key meetings documentsAssist the Business Operations Lead with the Strategy and Consulting Reward & Recognition ProgramProactively and independently organize and expedite workflow and initiate follow-up when necessary to ensure deadlines are metCollaborate with Administrative peers on department-wide initiatives and events as neededManage the onboarding and off-boarding of any Strategy and Consulting contractorsOpen and track all purchase orders and work with vendors to ensure invoices are paid in a timely manner; liaise with finance as neededAssist with administrative needs associated with recruiting and on-boarding new team membersFlexibility may be required to occasionally work later or longer hours to accommodate special events/assignments.

QualificationsMust-HaveHigh school degree required.3-5 years administrative experienceMust be professional, self-motivated, flexible, open to growth and challenges and a proven team playerAbility to multi-task in a fast-paced dynamic environment while demonstrating a resourceful, positive attitude and a superior work ethicExcellent attention to detail and highly organized and able to successfully handle simultaneous priorities, with speed and accuracyA strong sense of personal integrity; able to maintain confidentiality and handle highly sensitive information; demonstrate good judgment and decision-makingProfessional and articulate communication skills; able to seamlessly interact with experienced professionals.Ability to remain calm and professional under pressureDemonstrated resourcefulness, with ability to anticipate needs, prioritize responsibilities, anticipate and solve problems, and take initiativeCustomer service orientation, as S&C is an enabling function

Technical Skills Requirements:Excellent technical skills and comfort with new technologies that will enable simplicity and efficiency: PC proficient and expert at MS Office, including Word, Excel, PPT, Outlook, Teams, SharePoint, teleconference/WebEx and videoconferencing solutions.

Hourly range for this role would be from $31.361to $52.27.

Work Location Assignment: FlexibleFlexible colleagues are assigned a company site within a commutable distance where they work about 2-3 days weekly to connect and innovate with their team face-to-face. However, they also benefit from being able to work offsite regularly when it makes business sense to do so.

The salary for this position ranges from $31.99 to $53.31 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies. We offer comprehensive and generous benefits and programs to help our colleagues lead healthy lives and to support each of life’s moments. Benefits offered include a 401(k) plan with company Matching Contributions and an additional company Retirement Savings Contribution, paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage. Our compensation structures and benefit packages are aligned based on the location of hire. The United States salary range provided applies only to the United States - New York - New York City location.
