plays a pivotal role in steering the company towards its strategic goals. We are currently seeking a highly
organized and dedicated Executive Administrative Assistant to support our president. The ideal
candidate will be adept at managing complex schedules, coordinating travel, and ensuring the smooth
operation of our executive office.
Key Responsibilities
Calendar Management: Efficiently manage the president’s calendar, including scheduling
meetings, conferences, and appointments. Ensure optimal allocation of the president’s time,
avoiding conflicts and maximizing productivity.
Travel Arrangements: Plan and book all aspects of travel, including flights, accommodations,
and ground transportation. Organize detailed itineraries to ensure seamless travel experiences.
Email Organization: Monitor and manage the presiden’t email inbox. Prioritize important
correspondence, draft responses as needed, and ensure timely follow-up on pending matters.
Document Preparation: Assist in the preparation of reports, presentations, and other
documents. Ensure materials are accurate, well-organized, and professionally presented.
Vendor Management: Liaise with external vendors and service providers. Oversee the
procurement of goods and services, negotiate contracts, and manage relationships to ensure
the presidents needs are met efficiently.
Personal Assistant Tasks: Manage personal tasks for the president as needed, including but not
limited to personal appointments, family-related matters, and other errands to ensure the
president can focus on strategic priorities.
Confidentiality: Maintain the highest level of confidentiality and discretion in all aspects of the
role. Handle sensitive information with integrity and professionalism.
Qualifications
Bachelor’s degree or equivalent experience in Business Administration or a related field.
Experience as an Administrative Assistant, preferably in a C-level executive support role.
Exceptional organizational and time-management skills, with the ability to prioritize tasks
effectively.
Strong communication skills, both written and verbal, with an emphasis on clear, concise, and
professional correspondence.
Proficiency in office management systems and applications (e.g., Microsoft Office Suite, Google
Workspace).
Ability to work independently and as part of a team, demonstrating initiative and problem-
solving skills.
Flexibility to adapt to changing schedules and tasks as required.
High level of discretion and ethical approach to confidentiality.
