Job Summary
The Accounts Payable Specialist will be responsible for managing and processing all invoices and ensuring that payments are made in accordance with company policies and in compliance with financial practices. The ideal candidate will have a solid understanding of accounting principles, with specific expertise in construction industry payments and compliance requirements.
Key Responsibilities
Process invoices using 3-way match to confirm that orders correspond to receipts and invoice details. Code invoices accurately to the appropriate general ledger accounts to ensure proper entry into the financial system. Conduct regular reconciliations of accounts payable transactions to ensure accurate and current account balances. Manage monthly closing of financial records and posting of month-end information to ensure timely reporting. Maintain and verify Certificates of Insurance (COIs) to ensure compliance with contractual obligations. Prepare and submit 1099 forms annually in accordance with IRS guidelines. Respond to vendor inquiries and resolve any discrepancies in billing. Assist with financial audits by providing necessary documentation and explanations for accounts payable processes. Implement process improvements in the accounts payable area to enhance workflow efficiency.
Qualifications
Associate's degree in Accounting preferred but not required Minimum of 4 years of accounts payable experience, preferably in the construction industry. Strong understanding of accounting software and proficient in Microsoft Office Suite. Excellent attention to detail and the ability to manage multiple tasks simultaneously. Strong organizational and communication skills. Ability to work independently and as part of a team.
Preferred Qualifications
Experience with construction accounting software. Familiarity with job costing and construction-specific financial practices.
