📋 Role Overview & Responsibilities
POSITION DETAILS:Reports to: Strategy Planning ManagerFLSA Status: Full-Time, Salaried Non-ExemptNormal Working Hours – Office Hours: 8 am to 5 pm, Monday through FridayPosition Objective: Assist the project teams with administrative paperwork and procedures of the closeout process.RESPONSIBILITIES:Coordination with San Antonio, Austin, Dallas, Houston, Retail Business Units for all project closeout processesFacilitate Closeout Kickoff meetings with project teamsCommunication liaison with project teams, Owners, Architects and Trade Partners regarding closeout requirementsManage intake, and organization of closeout documents including but not limited to Operation and Maintenance Manuals, Warranty letters , Release of Lien documents, and any additional required documentation.Ensure that all timelines are met or exceeded to facilitate a successful turnover to the Owner.Primary daily backup for receptionist. Will be required to back up receptionist during lunch breaks, morning or afternoon breaks, off-site appointments and vacation. Additional duties as requiredEDUCATION AND/OR EXPERIENCE:High school diploma or equivalentOne or two years of college preferredIndustry experience desired, but not requiredSKILLS:Proficiency in the use of Microsoft Excel, Word, Project, and Outlook, Adobe Pro, Prolog Converge, Intranet, and Office 365Must have excellent written and oral communication skillsProper phone etiquette requiredWORK ENVIRONMENT:Work primarily in a climate-controlled environment with minimal safety/health hazard potential.
