📋 Role Overview & Responsibilities
The Payroll Manager plays a critical role in managing the payroll function for a large international company located in Chicago. This position requires extensive knowledge and experience in payroll processing, tax compliance, and payroll systems. The Payroll Manager is responsible for ensuring accurate and timely payment of wages to employees, adherence to regulatory requirements, and effective management of payroll processes. This role requires strong leadership skills, attention to detail, and the ability to work effectively with cross-functional teams.
Key Responsibilities:Payroll Processing:Oversee the end-to-end payroll process, including collecting, reviewing, and validating payroll data.Ensure accurate calculation and processing of employee wages, bonuses, commissions, and other compensation elements.Review and reconcile payroll reports to identify discrepancies and resolve issues promptly.Collaborate with HR, finance, and other departments to ensure payroll information is accurate and up to date.
- Payroll Compliance:Stay updated on local, state, and international payroll laws and regulations to ensure compliance.Maintain knowledge of tax laws, social security regulations, and labor laws impacting payroll.Prepare and submit payroll tax filings, including federal, state, and local taxes, ensuring timely and accurate payments.Respond to payroll-related inquiries from regulatory agencies and resolve any compliance issues.
- Payroll Systems and Processes:Manage and optimize payroll systems, ensuring data integrity, accuracy, and confidentiality.Collaborate with IT and HR teams to implement system upgrades, enhancements, and process improvements.Develop and maintain payroll policies, procedures, and documentation to ensure consistent and efficient operations.Identify opportunities to streamline processes, improve efficiency, and enhance data analytics and reporting capabilities.
- Team Management and Leadership:Lead and develop a team of payroll professionals, providing guidance, training, and support.Set performance objectives, conduct regular performance reviews, and address any performance issues.Foster a collaborative and positive work environment that encourages teamwork and employee engagement.Stay abreast of industry trends and best practices in payroll management to drive continuous improvement.
- Reporting and Analysis:Generate and analyze payroll reports, ensuring accuracy and consistency.Provide management with regular reports and insights on payroll-related metrics, trends, and costs.Identify and investigate discrepancies or anomalies in payroll data and implement corrective actions.Participate in financial audits and provide payroll-related documentation and support as needed.
Qualifications and Requirements:Bachelor's degree in accounting, finance, business administration, or a related field. Relevant certifications (e.g., Certified Payroll Professional) are a plus.Several years of experience in payroll processing and payroll tax compliance, preferably in a multinational or large company environment.In-depth knowledge of payroll systems and software, including experience with payroll processing systems implementation and upgrades.Strong understanding of local, state, and international payroll regulations and tax laws.Proficiency in using payroll software, spreadsheet applications, and HRIS systems.Excellent analytical, problem-solving, and decision-making skills.Strong attention to detail and ability to work with confidential information.Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.Proven leadership skills with the ability to manage and develop a team.
