Paralegal
📋 Role Overview & Responsibilities
Primary Purpose of Position: The Paralegal drafts closing documents and helps coordinate closings, drafts and coordinates filing of pleadings in federal and state courts, coordinates fair hearings and administrative hearings for recipients of federal benefits, assists with rulemaking and monthly board meetings and provides paralegal support to attorneys.
Education and Experience: Education and some real estate, commercial lending, affordable housing, public sector, or an appropriate combination of education and work experience preferred, but not required.
- Loan Closings and Workouts
o Assist attorneys, as needed, in drafting loan and regulatory documents
o Coordinate closings among buyers, sellers, lenders, and attorneys
o Review title work and surveys for closings and follow up on title work as needed
o Address post-closing issues as needed
o Index and organize closing documents
o Record discharges, mortgages and other regulatory documents
- Fair Hearings & Administrative Hearings
o Serve as neutral MaineHousing liaison with the hearing officers and clients
o Draft notices and correspondence regarding the hearings
o Schedule hearings using Clear2There and other software as needed
o Obtain and organize exhibits for hearings
o Assist attorney in preparing for hearings
o Draft final decisions based upon recommended decisions from hearing officers
- Litigation
o Draft pleadings, motions, correspondence and affidavits for attorney review, as needed
o File papers with court as necessary including electronically using the federal ECF system
o Prepare exhibits and service paperwork
o Track deadlines, payment plans and post-judgment work
- Contracts and amendments to contracts
o Prepare contracts and amendments for attorney review
- Rulemaking
o Coordinate rulemaking in accordance with rulemaking checklist
o Prepare initial drafts of rulemaking documents
o Coordinate delivery of materials to AG’s office and other state offices
- Board of Commissioners
o Point of contact for the Commissioners, the public and MaineHousing staff regarding monthly Board Meetings
o Coordinates publishing of monthly board meetings in the papers
o Collects reports and prepares monthly board packet for attorney review
o Prepares monthly board meeting agenda for attorney and Director review
o Attends monthly board meetings and takes minutes
o Submits expenses and annual reports with the Secretary of State
- General Paralegal Work
o Scanning and maintaining files
o Requisitions
o UCC filings
o Freedom of Access Act Requests
o Other administrative duties as assigned
Skills and Knowledge
- Excellent legal research skills
- Ability to maintain confidentiality
- Strong project management, time management, and organizational skills
- Strong PC skills using various software (spreadsheet, word processing, database, Excel)
- Ability to establish and maintain good working relationships with business partners, clients and staff
- Excellent communication skills – oral, written, listening
- Ability to take initiative, work independently, and utilize creative and analytical skills to resolve issues
Working Conditions: Fast paced environment with multiple priorities, interruptions & deadlines. MaineHousing business hours are Monday – Friday from 8:00am to 5:00pm. A hybrid schedule that includes some telework is available.
Reports To: Chief Counsel
The starting hourly rate for this position is $20.4817 (annual $42,602), plus a great benefits package!
