Job Overview:The Executive Assistant to the Executive Director provides comprehensive administrative and strategic support to the Executive Director (ED). This position requires a highly organized, proactive, and discreet individual who can manage complex schedules, communicate effectively with stakeholders at all levels, and contribute to the efficiency of our operations. The ideal candidate will be a problem-solver with exceptional attention to detail and a strong commitment to the mission of The Mercatus Center. This role will work from our offices in Arlington, VA and the Executive Assistant is expected to be onsite at the work location.Key Responsibilities:Administrative Support: Manage the ED's calendars, including scheduling meetings, appointments, and making travel arrangements. Ensure the ED is well-prepared for all engagements by providing timely and accurate information.Communication Management: Serve as a point of contact between the ED and internal/external stakeholders. Draft, review, and send communications on behalf of the ED. Handle confidential information with discretion.Meeting Coordination: Organize and coordinate executive meetings, including agenda preparation, document distribution, and logistics. Take minutes and follow up on action items as necessary.Project Management: Assist in the planning and execution of organization-wide projects. Track progress, coordinate with team members, and report updates to the ED.Research and Reporting: Conduct research on topics related to the organization's goals and prepare reports, presentations, and briefs to support decision-making.Financial Management: Assist with budget preparation and monitoring. Process expense reports and invoices, ensuring compliance with organizational policies.Special Assignments: Handle special assignments and projects as directed by the ED, ranging from strategic initiatives to operational improvements
Qualifications:Minimum of 3 years experience in an executive support role, preferably in a nonprofit environment.Exceptional organizational and time-management skills.Strong written and verbal communication abilities.Proficiency in office technology and software (e.g., MS Office Suite, Google Workspace).Ability to handle sensitive information with integrity and confidentiality.Proven ability to work independently and as part of a team.Flexible and adaptable to changing priorities.
