📋 Role Overview & Responsibilities

Summary

Responsible for providing professional administrative support to the HR department, to include administrative work, travel arrangements and preparing reports. In addition, the work schedule may exceed that of an eight (8) hour day, forty (40) hour week and may occasionally be required on weekend days.

Basic Duties And Responsibilities

Represent the departments in a professional manner by being the frontline of communication with all outside parties. Create letter of Intent for International Employees. Verification of Employment for NDUSA, NOC, NAD and International. Scan and Maintain NDUSA employee files. Administer the Employee Service Award program for NDTUSA employees. Manage unemployment requests and provide information to third party administrator. Prepare online expense reports and audits expense reports for accuracy in preparation of appropriate supervisor approval. Make travel arrangements for multiple parties, including obtaining any required travel visas, follow up to ensure reservations are made, confirmed and each detail is correct making traveling party aware of any variances or issues. Prepare package to include itineraries, directions, confirmation numbers, contact names and numbers and any other pertinent information to ensure ease of travel. Coordinate internal and off-site meetings/receptions/training. Responsibilities to include: scheduling conference rooms, follow-up with attendees, make arrangements for catering, liaison with meeting place vendors, ensure conference rooms and kitchens are appropriately supplied and set up the day prior to each meeting, and attend to any other pertinent detail to ensure ease and efficiency of meeting. Take telephone and visitor messages accurately and deliver them timely to the appropriate individual. Answer HR telephone lines and provide information/assistance and routes caller to appropriate staff. Greet scheduled visitors to the office and direct them to the appropriate individual. Screen unscheduled visitors for business purpose. Maintain departmental calendars, and update as required. Process invoices for department, ensuring timely processing, maintain copies. Process BTA-Card statements with invoices, and provide a monthly summary of BTA-Card charges for departmental costs. Compose and type correspondence and other documentation as required. Sort and distribute mail. Owner of department keys for office and master key backup. Performs other tasks as required.

Minimum Qualifications

Must possess knowledge and skills in modern office procedures and methods including: Telephone communications, Office systems and recordkeeping, Use of personal computers and various software packagesTyping skills of at least 50 words per minute. Must be extremely organized and have the ability to establish and adhere to prioritiesWork independently, multi-task and proceed with objectives/projects with little or no supervision. Ability to interact effectively with all levels of staff and line management. Bi-lingual in English/Spanish is a plus.

Educational And/Or Work Experience

A minimum of two years of secretarial and administrative support experience. Ability to read, analyze, and interpret common reports. Should have attended prior courses in secretarial/office administration as well as courses in various Microsoft office programs. Must have a high school diploma or recognized equivalent. Previous HR and HSE experience is a plus.
