📋 Role Overview & Responsibilities
Help keep McGruff organized! The Finance and Administrative Coordinator will play a crucial role in supporting the financial and administrative functions of the company. This position requires a well-organized and analytical individual who can handle various responsibilities related to finance, accounting, and general office administration. Essential Duties and Responsibilities: Finance: · Maintain accurate records of bank transactions and reconcile bank statements regularly.· Manage and process invoices, payments, and receipts. Ensure timely and accurate recording of financial transactions.· Timely payment of expense reports, ensuring conformity with government contract rules· Develop and maintain organizational systems such as Uninet, Bill.com, DocuSign, CRM, etc.· Generate and prepare financial statements and reports for internal and external stakeholders such as monthly budget statements, quarterly financials, and requested audit materials.· Process Payroll· Coordinate new relationship with legal counsel on state and other required regulations Administrative: · Coordinate and manage ED’s calendar, including scheduling meetings, appointments, and travel arrangements.· Prioritize and plan speaking engagements and appearances, ensuring optimal use of ED's time.· Draft and edit correspondence, emails, and other documents on behalf of ED.· Organize and prepare materials for board meetings.· Attend and document key discussions and decisions during board meetings.· Maintain organized and up-to-date financial and administrative records. Implement and improve document management systems to go paperless. · Management of licenses, contracts, and all insurance coverages such as General Liability, Errors and Omissions, etc· Assist with travel itineraries, accommodations, and logistics for team members.· Assist with special projects and initiatives as assigned by the executive director. Work Environment, Physical Demands, and Travel Requirements · Work Environment: Professional/office environment, with use of computers, copiers, fax machines, writing utensils, scissors, telephones, calculators, manuals, and software applications, etc. No environmental hazards are anticipated but employee may be subject to inside environmental conditions and temperature changes.· Physical Demands: Ability to perform sedentary work in front of a computer for long periods of time.· Travel Requirements: Local travel to support ED at client/partner meetings, training, and presentations may be required.· Days/Hours: Full-time within a hybrid work environment. Must be in the office three (3) days a week including the core days of Tuesdays and Thursdays and one (1) other chosen day. Work from home two (2) days per week. Education and Experience: · Bachelor’s degree in Finance, Accounting, Business Administration or related field; or equivalent work experience preferred.· Proven experience in financial management and administrative roles Knowledge, Skills, and Abilities: · Strong knowledge of financial principles, accounting procedures, and budgeting.· Excellent organizational and time-management skills.· Strong written and verbal communication skills.· Exceptional attention to detail and accuracy. · Proficient in Microsoft Office Suite and other relevant software such as Bill.com, DocuSign, CRM, and Uninet.· Ability to multitask and prioritize tasks in a fast-paced environment.· Discretion and trustworthiness with access to sensitive information.· Familiarity with accounting and finance principles. Finance and Administrative Coordinator will be required to perform other duties as requested, directed, or assigned.
