📋 Role Overview & Responsibilities
We are seeking a highly organized and experienced Office Manager with a background in the investment industry to oversee the smooth operation of our client's office. The ideal candidate will possess strong administrative skills, impeccable attention to detail, and a deep understanding of the unique needs and dynamics of an investment firm environment. This role requires the ability to multitask effectively, prioritize tasks, and maintain confidentiality while supporting various departments within the firm.Responsibilities:Administrative Management:Manage daily office operations, including but not limited to, scheduling, correspondence, and office supply management.Serve as the primary point of contact for internal and external stakeholders, addressing inquiries and requests promptly and professionally.Coordinate meetings, conferences, and travel arrangements for senior management and other team members as needed.Ensure office policies and procedures are followed, and maintain a safe and productive work environment.Financial Administration:Assist with basic financial tasks such as invoicing, expense tracking, and budget management.Liaise with accounting and finance departments to ensure accurate and timely processing of financial transactions.Maintain records of office expenditures and reconcile accounts as necessary.Human Resources Support:Assist with the recruitment process by scheduling interviews, coordinating candidate communication, and facilitating onboarding procedures.Maintain employee records and ensure compliance with HR policies and regulations.Coordinate employee training programs and support professional development initiatives.Client Relations:Support client relationship management efforts by providing administrative assistance to client-facing teams.Prepare client communications, presentations, and reports as needed.Ensure client inquiries and requests are addressed in a timely and professional manner.Project Coordination:Assist with project management tasks such as organizing meetings, tracking project timelines, and documenting progress.Collaborate with team members to ensure project objectives are met within established deadlines.Qualifications:Bachelor's degree in business administration, finance, or related field preferred.Previous experience as an Office Manager or in a similar administrative role within an investment firm or financial institution.Strong understanding of financial terminology, procedures, and regulations.Proficiency in Microsoft Office Suite and other relevant software applications.Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.Proven ability to handle confidential information with discretion and integrity.Exceptional organizational skills and attention to detail.Ability to work independently and prioritize tasks in a fast-paced environment.
