Job Title: Grant Accountant Reports to: Chief Financial Officer Location: Providence, RI (please note this is an in-person role) Status: Full Time, Exempt (37.5 hours per week); Compensation: $57,000 - $72,000 based on experience. About Us: Sojourner House is a comprehensive victim services agency that provides crisis intervention services, shelter, transitional housing, permanent housing, clinical counseling, immigration advocacy, community-based programs, education prevention programming, a growing housing development program, and other supportive services to individuals and families impacted by abuse. Our mission is to promote healthy relationships by providing culturally sensitive support, advocacy, housing, and education for victims and survivors of domestic violence, sexual assault, and human trafficking; and to effect systems change. The agency has grown from a small, grassroots organization into a robust statewide agency with over 60 full time employees across multiple locations and an annual budget that is approaching $9 million. Position Summary: Sojourner House is seeking a full-time Grant Accountant. The Grant Accountant is responsible for providing fiscal support on all grants and contracts for Sojourner House. They work with and support the Chief Financial Officer, Executive Director, Senior Accountant, Director of Grants, Deputy Director of Programs, and other program staff in developing, implementing, and providing ongoing financial oversight to grants management operations, ensuring the appropriate use and accurate reporting of all financial transactions on grants and contracts. The person in this role will also support the overall activities of the Finance Department by performing bookkeeping and administrative functions, including Accounts Payable, Accounts Receivable, filing, bank deposit preparation, grant reporting and invoicing activities, and supporting audit preparation. . The ideal candidate is proficient in QuickBooks, detail-oriented, and organized. They have experience working with small to medium-sized nonprofit organizations and, at minimum, some grant, governmental contracting, or other project accounting experience. They should also understand internal controls and be able to ensure compliance with all controls and accounting policies. Key Responsibilities: Grants AdministrationAssist with the preparation and monitoring of individual grants and program budgets; Prepare and submit grant invoices;Record grant billings in the accounting software and assist in monitoring open receivables and following up on past-due accounts;Ensure all transactions are properly recorded and agree to the grant/contact agreement and deliverable deadlines;Maintain and update grant contract electronic files and binders.Monitor the status of grant funds in accordance with their budget and report on significant variances as appropriate;Perform monthly general ledger account reconciliations and analysis for accounts and recommend any correcting or adjusting entries as needed;Manage grant expenditures and prepare financial reports to funding sources;Coordinate the budgeting process and detail for assigned grants. Setup budgets in accounting software and monitor budget activity for grants.Resolve accounting and reporting issues as necessary; prepare monthly budget-versus-actual status reports, identify issues concerns and problems and communicate with the Chief Financial Officer, Executive Director , and Deputy Director of ProgramsMange contractor agreements and ensure the terms and conditions of agreements are met and properly documented and communicated.
General Accounting Process and record vendor invoices, ensuring accuracy and timely payments. Generate invoices for fee-for-service activities and other customer invoices and monitor receivables for prompt collection.Ensure that all transactions are electronically maintained and up-to-date matching outstanding payables and receivables that are in the accounting system. Post daily deposits, including going to the Bank when necessary.Verify, track, monitor, and reconcile tenant rent payments and security deposits.Reconcile monthly credit card, bank, and investment statements to ensure accuracy and identify discrepancies. Record and classify financial transactions into the general ledger.Maintain organized, up-to-date, and easily accessible financial records, i.e., journal entry documentation. Review and process employee expense and mileage reports, ensuring compliance with policies. Perform regular data audits to identify and correct errors, such as general ledger review. Ensure compliance with applicable accounting regulations and company policies.Assist with the preparation of audit work papers and account reconciliation. Communicate with other employees and maintain relationships with outside partners and vendors; clarify billing and contract terms when appropriate; seeks new vendor relationships when needed.Perform other duties as requested by Sojourner House management. Experience and Education Required:Three to five years’ experience in accounting roles, nonprofit federal grants experience is preferred;Bachelor’s degree in Accounting or Business Administration, or equivalent work experience; Experience with ensuring the quality and content of financial data and reporting;Ability to set priorities and handle multiple projects;Effective problem-solver;.Strong computer literacy; proficient in Excel and the ability to reconcile large transactional files (pivot tables and vlookup experience preferred)Experience using QuickBooks or other types of accounting software;Excellent communication and relationship building skills with the ability to prioritize, negotiate and work with a variety of internal and external stakeholders;Adaptability, able to work in a fast-paced environment;Excellent organizational skills and attention to detail;A commitment to the mission of Sojourner House;Candidate must pass a background check if offered the position.
