📋 Role Overview & Responsibilities

Position Summary:This position is responsible for overseeing SWAPA’s Contract Administration (CA) Department, managing CA’s business function, 24x7 operations, and staff, including staff scheduling. The position is accountable for the administration of SWAPA’s Collective Bargaining Agreement (CBA) including, but not limited to, pilot education on the CBA, pilot scheduling audits, pilot pay audits, and grievance processing.

Subject matter expert regarding the Collective Bargaining Agreement.Ambassador of the department, ensuring strong and collaborative interdepartmental relationships.Communicate and coordinate with the Contract Administration Committee consisting of appointed pilots and members of the Association’s legal team, keeping the committee and stakeholders apprised of key business issues and developments.Workload definition, unit organization, work assignments, and performance monitoring.Lead and manage Contract Administration team, including staff scheduling, conducting performance reviews and assisting in the professional development of each team member and guiding the overall work performed by the team.Responsible for the direct supervision of the Contract Administration Supervisors.Manage team responsible for answering calls and emails on a 24x7x365 basis from the Association’s membership, advising on contractual provisions, and personally handling escalated CBA interpretation inquiries. Coordinate pilot grievance filing process in collaboration with CA Committee and SWAPA Legal, providing designated SMEs for each.Reporting on inquiry trends, CBA issues, grievance statuses, business activities, and unit performance.Ensuring structured document and knowledge management that can be easily searched, shared, and used as a source for future inquiries and negotiating strategies.Ensure the proper development and adoption of consistent technology across the unit in collaboration with SWAPA IT.Other duties or projects as assigned by the Executive Director.

Education & Qualifications:Bachelor’s degree in business or related field preferred.Labor Relations experience.Seven (7) years or more contract administration experience required.Seven (7) to ten (10) years of people and team management experience required.Experience with collective bargaining agreements is strongly preferred.Call center and/or customer service management experience is a plus.Airline crew scheduling experience is a plus.Must have exceptional written and verbal communication skills.Must have working knowledge of Office 365 Suite (i.e. Word, Excel, Outlook, Teams, PowerPoint, etc.).Excellent time management skills, including being deadline and detail oriented under time-constraints.Ability to identify challenges, improve processes, and lead the team through change.Ability to seek out and maintain relationships with key stakeholders.Ability to focus, support, and manage competing projects at the same time.Able to exercise high levels of discretion, confidentiality, sensitivity, and integrity.Ability to work quickly and efficiently on short notice. Ability to problem-solve and strategize.

Physical Demand & Work Effort:Keying / typing, sitting, standing, and walking.Ability to spend large periods of time viewing computer monitor(s).Ability to lift up to 20 pounds.Ability to travel, including but not limited to driving, to/from various locations including conferences, trainings, and/or attendance at SWAPA events.Potential standing for long periods of time in support of Union-related activities such as picketing.Constant mental and/or visual attention; the work is either repetitive or diversified requiring constant alertness in an office environment.Compliance with company attendance standards.
