Position OverviewHelp increase The Bureauβs event sales operations, both outbound and inbound through communication, planning, and execution of all internal and external events. Act as a day of on-site coordinator for select events.
PRINCIPAL DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS*)
Inbound SalesReply to all prospective Event Leads via email and phone in a timely manner. Monitor additional inbound 3rd party channels including, but not limited to, Yelp!, Peerspace, Reposite, etc. Event Planning & CoordinationPlan and communicate various events depending on each clientsβ needs and budget as the main point of contact. Events can include, but are not limited to, birthday parties, wedding receptions, corporate outings, team building events, etc. Act as the day of event coordinator and troubleshoot any challenges that may arise. Partner with the General Manager on staffing and operational needs for the event.Vendor RelationshipsPartner with various vendors, caterers, entertainment, etc. based on clientsβ requests. Establish new preferred vendor contacts and develop a contact list.Administrative TasksPartner with Management Team in maintaining a CRM to track prospective Leads and monitor event conversion rate (goal is 20% of all prospective Leads)Complete and send invoices and contracts for all events.Complete an event recap for all events.Off-Site Event CoordinationAct as a representative of the business at various off-site festivals, conventions, and other events with approval from the General Manager or CEO. Company EventsOrganize company events such as Team Outings and Holiday Parties with assistance from the General Manager.Develop and test new company events to increase traffic during slower periods, such as trivia nights, date nights, marketing meetups, media events, etc.Outbound SalesEstablish relationships with various companies in the Central Florida area to increase possible Event Leads through cold calls, email, and in person including, but not limited to networking events and business check-ins. Partner with tour groups and school groups to increase the diversity of groups planning events.MiscellaneousAssist with any other tasks or projects as assigned by Management Team
SUPERVISION RECEIVEDPosition requires ability to perform without supervision.
QUALIFICATIONS & SKILLSREQUIREDEducation: High School Diploma or equivalent.1 year experience with event planning and/or sales or educational equivalentStrong interpersonal skillsStrong organizational and time-management skills, including the ability to handle multiple tasks simultaneouslyExcellent spoken and written communication.Proficient computer skillsStrong ability to work as part of a teamCell phone and personal computer or tablet with access to high-speed internetFlexible schedule to communicate with Event Leads and also act as a day of coordinator for their events. Work hours are based on Lead Volume and Confirmed Events.This position is Hybrid and does allow for remote work, but will require the ability to work in office at times, especially as on-site coordinator.This position will require assistance with set up and tear down and execution of events depending on the specific events needsAbility to climb ladders, lift up to 50 lbs without assistance, bend, crawl, and fit into tight spacesAbility to clean and use chemicalsAbility to sell and serve alcoholic beverages (additional training provided)PREFERREDOne year working in a fast paced themed entertainment environment1 - 3 years experience in event sales
