📋 Role Overview & Responsibilities

We are a vibrant nonprofit multicultural arts center, doing the work of social justice through the arts. Our programming nourishes the mind, soul, body and spirit of all who enter our doors and includes the presentation of professional multi-cultural arts events from which no one is turned away for lack of funds. Our youth arts program, City School of the Arts, provides over 1,000 Hartford children with a free, high-quality arts education. Our Beat of the Street program offers three initiatives for members of the homeless community that provide educational and employment opportunities.

We are seeking a Business Manager who is passionate about working in an organization that values and promotes diversity, equity, inclusion and anti-racism work. This position is ideal for a resourceful, motivated, highly competent, self-directed individual who is dedicated to supporting those in need.

Reporting to the Executive Director, the Business Manager implements the infrastructure needed to support the organization’s strategic objectives. This includes office management and oversight of administrative processes including donor management, human resources, insurance and business filings, and information technology. This role additionally lends support to grant and fundraising activities. In doing so, the Business Manager provides key support to senior leadership to ensure that the focus remains on our mission and maintains the culture that makes us unique.

Responsibilities

Executive Support –

Provides support to the organization’s Executive Director, City School of the Arts Director and Finance Director as requested; Maintains and updates Board of Directors meeting minutes and other documents; Proofreads a variety of materials including grant applications and reports.

Human Resources Management – Organizes and maintains personnel records; Prepares job descriptions, employee onboarding and termination paperwork; Administers employee benefits to include health coverage, retirement plan, FLMA, vacation time; Responds to employee questions regarding benefits and other human resources matters; Assists with staff payroll; Makes recommendations to the Executive Director on human resource matters including health insurance coverage, and hiring and termination matters.

Donor Management and Fundraising –

Maintains and manages the organization’s donor management system, DonorPerfect, and serves as the subject matter expert on its functionality: Works with Executive Director and third-party vendor to optimize performance of donor management system; Inputs donor information and produces donor acknowledgements; Provides mailing lists for fundraising and appeal mailings; Researches cost options for mailings; Tracks and reports on sales for organization’s annual Gala and works with Executive Director to manage administrative functions in advance of and at the event: Attends Gala Committee meetings.

Technology –

Serve as troubleshooter and liaison between staff and third-party IT service to triage and resolve networking, hardware and software issues; Make recommendations to Executive Director for the purchase of new technology; Assures best practices as regards online and network security and data integrity; Oversees digital filing systems assuring optimal organization; Serves as phone system administrator; Implements improvements to processes in keeping with current recommendations.

Insurance Business Filings, Certifications and Licenses –

Works with commercial insurance agent and Executive Director to ensure that adequate, affordable coverage is in place; Responsible for annual business filings and license renewals, including Secretary of State’s Annual Report, Charity Renewal certification, Certificate of Good standing, boiler certifications, health license, security system license, etc. Assures that all filings are up to date.

Office Management --

Maintains administrative office space in an organized and tidy manner; Maintains office equipment and troubleshoots problems; Receives and disburses postal mail; Responds to or disburses phone and email messages as appropriate.

Qualifications

3-5 years of increasingly complex administrative experience, preferably with a nonprofit organization(s) 2+ years human resources experience, including employee health coverage and other benefit plans, and with payroll processing via a third-party payroll service Strong comprehension of and 1+ years working with donor management systems or other database software Proficient in MS apps including Word, Excel, Outlook, Google Drive, Adobe Pro Ability to troubleshoot and assist others with technology needs Extraordinary attention to details Able to maintain high degree of confidentiality Flexibility and a good sense of humor Ability to work with people of different backgrounds Excellent verbal and written communication skills Bachelor’s degree; Master’s Degree preferred
