Position Overview:The Accounts Payable and Payroll Specialist will play a crucial role in ensuring the smooth and efficient operation of our financial processes. This position will be responsible for providing comprehensive accounts payable support across all ongoing projects, as well as managing corporate payroll for our team of 25 employees. The ideal candidate will have prior experience in accounts payable within the real estate development and/or construction industry, possessing a strong understanding of the unique financial intricacies associated with these sectors.
Key Responsibilities
Accounts Payable Management:Receive and review invoices from vendors, subcontractors, and suppliers for goods and services procured for development and construction projects.Coordinate with project managers and accounting staff to accurately track project-related expenses and maintain project cost reports.Establish and maintain relationships with vendors, subcontractors, and suppliers involved in development and construction activities.Ensure that invoices are accurate, properly coded, and supported by appropriate documentation, such as purchase orders, contracts, and delivery receipts.Verify that invoiced amounts align with agreed-upon contract terms, including quantities, rates, and discounts.Prioritize invoice processing based on project timelines, payment terms, and budgetary constraints.Monitor vendor performance and adherence to contractual agreements, identifying opportunities for cost savings and process improvements.Allocate costs to specific development and construction projects based on relevant budget codes, cost centers, or job codes.Process progress billings from subcontractors and suppliers based on work completed or milestones achieved in construction projects.Reconcile vendor statements and accounts payable sub-ledgers to ensure accuracy and completeness of financial records.Ensure compliance with internal controls, accounting standards, and regulatory requirements governing accounts payable processes in the real estate development and construction industries.
Payroll Administration:Manage the end-to-end payroll process for a team of 25 employees, including salary payments, deductions, and benefits.Ensure accurate and timely processing of payroll transactions, including new hires, terminations, and changes in compensation.Verify timekeeping records and resolve discrepancies as needed.Calculate and process employee reimbursements, bonuses, and other compensation adjustments.Stay informed about relevant labor laws and regulations to ensure compliance with payroll-related requirements.Address employee inquiries regarding payroll matters and provide assistance as needed.
Process Improvement and Optimization:opportunities to streamline accounts payable and payroll processes, enhance efficiency, and reduce costs.best practices and leverage automation tools to improve workflow efficiency and accuracy.with cross-functional teams to implement system enhancements and software upgrades that enhance the effectiveness of financial operations.
Qualifications:Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.3+ years of relevant experience in accounts payable and payroll administration, preferably within the real estate development or construction industry.Proficiency in accounting ERP software and payroll processing systems.Strong analytical skills and attention to detail, with the ability to accurately interpret financial data and identify discrepancies.Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal stakeholders and external vendors.Ability to work independently with minimal supervision and prioritize tasks in a fast-paced environment.
