Description
The employee in this position works under the administrative direction of the Residency Program Director. Responsibilities include maintaining an operational awareness to effectively implement the policies and activities involved in the administration of a graduate medical education program. Duties require the use of judgment and initiative and require extensive knowledge of the activities of the program director, organization, programs, and policies and procedures of the residency and institution. It is essential for the employee to have the ability to exercise discretion in handling of sensitive and confidential information.
Duties & Responsibilities
Maintains an overall awareness and proactively anticipates the organizational activities of importance or impact to the residency and coordinates and expedites necessary actions. This includes but is not limited to residency recruitment, new resident onboarding, program evaluation, program accreditation, and scheduling of both faculty and residents for the program's educational activities. Manages and optimizes resident rotation experiences through direct communication and scheduling with community rotation sites while maintaining a collaborative relationship with our community preceptors and partners. Supports a comprehensive evaluation process of all residents through obtaining relevant resident rotation and clinical evaluations from faculty, peers, staff, patients, and self to provide performance feedback to the learners. Coordinates, schedules, and monitors the faculty-resident advisership process through strategic and thoughtful scheduling of resident advisor meetings. Maintains and monitors the timely preparation of resident contracts and the supporting documentation required for resident promotion. Serves as a liaison with ECFMG for managing and coordinating VISA requirements for residents as needed. Coordinates scheduling for faculty and residents. This includes but is not limited to: call, clinic, precpeting, rotations and meetings. Processes all time off for faculty and residents and maintains records of time available and used. Serves as liaison and resource between the residency, internal staff, external staff, and outside agencies, functioning as an effective public relations representative for the residency training program. Liaison to the medical school and Department of Family and Community Medicine. Answers inquiries and resolves problems requiring the interpretation, explanation, and justification of administrative and programmatic policies and procedures per ACGME and ABFM accreditation program requirements. Directs and coordinates all administrative functions of the residency office with full accountability for results produced. This includes but is not limited to developing and implementing procedures and record-keeping systems as outlined in ACGME accreditation program requirements. Performs quality control review of the administrative function of the residency in conjunction with ACGME accreditation program requirements. Analyzes work requirements for support staff of the residency with responsibility for establishing operating guidelines and implements actions necessary to accomplish the work effectively. Reviews overall work production, cost, equipment, and staff resource utilization to evaluate progress in achieving goals, objectives, and cost-effectiveness. Recommends and implements actions to improve the overall effectiveness of the office under the direction of the residency program director. Reviews and monitors residency fiscal transactions and social media accounts. Represents the program director and residency at meetings and conferences. Composes correspondence and other documents that require the synthesis or integration of various subject areas as they pertain to the overall function of the residency program. Minimum Qualifications
Bachelor’s degree. A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.) Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.
