Position Description
Advertised Job Summary
Under limited supervision, coordinates overall administrative tasks for the Assistant Dean of Clinical Graduate Programs which include Physician Assistant Program, Nurse Anesthesia, Counseling and Rehabilitation, Genetic Counseling for the University of South Carolina, School of Medicine Columbia ( SOMC ) and serves as the main point of contact for the Office. Coordinates and supports the Assistant Dean and Clinical Graduate Program Directors with program evaluation and development activities, budget management, and related day-to-day operations. Assists with supply procurement, organizes events, meetings and taking minutes, oversees Outlook calendars, makes travel arrangements, serves as time and labor facilitator, purchasing card and reimbursements. Demonstrates commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.
Minimum Qualifications
Requires a high school diploma and 3 or more years of experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.
Preferred Qualifications
Master’s degree and 1-year related experience in business, public administration or administrative services, or bachelor’s degree and 3 years related experience; or equivalency.
Knowledge/Skills/Abilities
Knowledge of agency policies, procedures, rules, regulations, and program services. Knowledge of federal and state laws, policies, procedures, rules, and regulations related to the specific administrative/management function. Knowledge of governmental fiscal and personnel procedures, practices, and policies. Knowledge of modern office practices, procedures, and equipment. Ability to coordinate diverse administrative/management functions. Ability to plan, organize, and supervise the work of subordinate personnel, as needed. Required to conduct business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.

Coordinates complex administrative, business management, and support activities for the Office. Serves as assistant to the Assistant Dean of Clinical Graduate Programs. Arrange travel and accommodation as needed. Drafts letters, memos, invoices, reports, and related documents for the Assistant Dean and Program Directors. Manages complex calendar scheduling, receives incoming communications, and distributes content depending on the level of importance. Assists with program logistics, to include in-person or virtual meeting set-up (food, IT setup, etc.), develops agendas, and communicates with and coordinates potential presenters Assists with various timelines (tracking and reminders).

Consults with various program personnel, including but not limited to the Office of the Dean, SOMC Contract and Grants Director, and the Director of Reporting and Analysis, regarding the availability of funds and the preparation of funding requests.
